Sounds grand doesn't it? But what does it mean? Lets start at 10.00 AM... ● The phone rings - is there anybody there to answer it? (More importantly, was there anybody there to answer the phone over the weekend?)
● Moving on, its a client enquiry (who are they, what do they want? - TAKE DETAILS) (This may seem obvious, but is this the first time they have telephoned? - Did they speak to the temp last week and have not received the info they requested? - How do you know? - Do you have a record of their contact details?)
● After you put the phone down... Where did the enquiry come from? - Did you ask? (How are you going to monitor how effective your advertising is working?)
● Checking on your Rolodex you see we sent them info. Checking on your email however you find that the email was returned "undeliverable at that address"
And so on... By the end of the day, can you send out the 30 emails to the 30 enquiries you had today - all at once - and personalised? Does this sound familiar?? To continue... How many orders have you received in the past 4 months and what is their total value? Do you have a system that tells you at the click of a button, who owes you money?
Time wasting is one of the main contributors to lack of productivity, inefficiency and loss of profit. Most repetitive jobs in the office, with a bit of thought and know-how, can be automated. But be careful, whether you have Rolodex or a Computer system - keep it cheap and simple!
